Clara's templates allow you to standardize your card configurations in bulk. By using a template, you ensure that all associated cards automatically follow your company's usage and spending policies.
What is a template?
A template is a saved card configuration that can be reused as many times as you need. It can include:
- Card type (virtual, physical, Black).
- Spending limit and reset frequency.
- Merchant category restrictions
- Activity period and days of use.
- ATM access (physical cards)
- Maximum amount per transaction
- In-person or online usage.
- International or domestic usage.
Cards created from a template can stay linked to it—meaning any future changes to the template automatically update those cards—or be used as a one-off starting point and remain independent.
Roles and Permissions
To maintain your company's financial control, template access is defined by profiles:
- Admins: The only users who can create, edit, and delete templates.
- Managers, employees, and accountants: Can view and select a template when requesting or creating a card, but do not have permission to modify the original template settings.
How to create a template?
If you are an administrator and want to define a new spending standard:
- Go to the Cards section and select the Templates tab.
- Click the Create template button.
- Assign a descriptive name (e.g., "Travel Expenses" or "Digital Marketing").
- Define all usage rules: card type, limits, merchant and geographic restrictions.
- Click Save. The template will be immediately available.
How to create a card using a template?
- Go to the Cards section and select Create Card (or Request Card).
- In the creation form, select the Template option.
- Choose your desired template from the dropdown list.
- You will see that fields defined in the template are automatically filled. Select the cardholder, the card alias, and complete any additional configurations needed.
- Finish the process by clicking Create or Send Request.
Editing a template
- Go to Cards → Templates.
- Open the template and click Edit.
- Make your changes and click Save.
Editing a template automatically updates the preset fields on all linked cards. Fields not preset in the template (such as the alias) are not affected.
⚠️ Important: Editing a template updates all linked cards. You can unlink specific cards before saving if you don't want them to change.
FAQ
Can I add an existing card to a template? Yes. You can associate previously created cards with a template. The card will adopt the template's settings, and any previous individual configuration will be replaced by the parameters set in the model.
I want to edit a card but the fields are grayed out, what should I do? If fields are disabled, it's because the card is linked to a template. You have two options: edit the original template (which affects all linked cards) or select Detach card from template to make custom adjustments only to that specific card.
If an employee requests a card using a template, what fields can they change? The employee can only modify fields that were not predefined in the template (such as the card alias). Control parameters like limits and restrictions will be locked to ensure compliance with company policies.
What happens if I delete a template? The cards previously linked to it will keep their last received configuration but will become independent (detached) cards.
Can I use templates for both physical and virtual cards? Yes. You can define in the template whether the cards should be physical, virtual, or both, and apply the same spending rules to either format.
